Participation & Cancellation Terms
These terms apply to participation in the ROSBOT Chanukkah Retreat 2026, taking place 7–11 December 2026.
The retreat is organised by ROSBOT, a sub-project of Hashomer Hatzair Deutschland e.V. As such, the retreat is grounded in the publicly stated values and educational principles of Hashomer Hatzair.
We ask participants to take part only if they broadly identify with and are willing to respect these values and the political and educational framework of the organisation. Participation does not require agreement on every political question, but it does require a willingness to engage with others in a way that is consistent with these shared principles.
By registering for the retreat, participants agree to the following terms.
1. Registration and confirmation
Submitting the registration form does not automatically guarantee a place at the retreat.
Places are limited. The retreat will have a maximum of 20 people in total, including the organising team.
After reviewing registrations, the ROSBOT team will contact applicants to confirm whether a place can be offered. Participation is considered confirmed once you have received a confirmation from the ROSBOT team.
2. Participation fee
The regular participation fee is €100 per person.
The fee includes:
- accommodation for the duration of the retreat;
- meals provided as part of the retreat;
- participation in the programme and activities.
Travel to and from the retreat is not included in the participation fee.
3. Travel support
Depending on available funding, travel costs may be supported for participants travelling from Germany and Israel.
Participants travelling from other countries may apply for partial travel support by contacting:

Travel support is subject to available funds and must be agreed with the ROSBOT team in advance. We cannot guarantee that all travel costs or support requests can be covered.
4. Educator contribution
Participants who contribute a workshop or educational session of 1.5–3 hours as part of the retreat programme will receive a 50% reduction of the participation fee, resulting in a fee of €50.
Workshop contributions must be agreed upon with the ROSBOT organising team in advance.
5. Payment
The participation fee must be paid within 7 days of receiving confirmation of participation.
Payment details will be provided together with the confirmation.
If payment presents a significant barrier to participation, participants are welcome to contact the ROSBOT team. Any alternative arrangement must be agreed upon individually.
6. Cancellation by participants
If you are unable to participate after your place has been confirmed, please inform the ROSBOT team as soon as possible.
The following cancellation conditions apply:
- Cancellation by 1 November 2026: 75% of the participation fee will be refunded.
- Cancellation between 2 and 15 November 2026: 50% of the participation fee will be refunded.
- Cancellation after 15 November 2026: no refund will normally be possible.
If exceptional circumstances prevent participation, you are welcome to contact us. Any exception to the cancellation policy will be considered individually and cannot be guaranteed.
7. Jewish character of the retreat and participation of non-Jews
The ROSBOT Chanukkah Retreat takes place during Chanukkah and is rooted in Jewish community, culture and experience. At the same time, participation is explicitly open to non-Jewish participants.
As we expect the majority of participants to be Jewish, the registration form may ask participants to briefly describe their relationship to Jewish communities or Jewish life, including if they have no particular relationship. This helps us understand the group that will be coming together and prepare the retreat accordingly.
The retreat aims to be a safe and welcoming space for Jews and their allies, particularly those connected to left-wing, progressive and critical educational spaces.
No discriminatory, racist, antisemitic, sexist, queerphobic, transphobic, ableist or otherwise degrading or exclusionary behaviour will be accepted. Participants are expected to engage with one another respectfully, including across differences of identity, background and political perspective.
8. Political framework and the focus of the retreat
As a ROSBOT activity within Hashomer Hatzair Deutschland, the retreat is not politically neutral. It takes place within the broader values and educational framework of the movement.
We therefore ask participants to join only if they can identify with, or at minimum sincerely respect, this framework and contribute to a space shaped by solidarity, equality, social justice, Jewish communal life and critical education.
At the same time, participants are not expected to hold identical political positions or agree with one another on every issue.
The retreat itself is intended as a space for community, rest, reflection, learning, spirituality, secular ritual and connection.
We recognise that participants may hold different and strongly felt positions on political questions. However, Israel–Palestine, the current wars and debates around Zionism and anti-Zionism are not intended to be part of the organised retreat programme.
These topics are already highly present in many of our political and communal spaces. For these few days, we would like to consciously create room for other conversations and experiences and to avoid turning the retreat into another space centred around these conflicts.
Participants are asked to respect this focus and not to impose political debates on others who do not wish to engage in them.
9. Optional volunteering at the Chanukkah Machane
Following the retreat, there may be an opportunity for participants to volunteer at the Chanukkah Machane of Hashomer Hatzair Ken Berlin from 11–13 December 2026.
This is a separate activity and is not automatically included in retreat participation.
Anyone interested in volunteering at the Machane must arrange this in advance and with the prior agreement of the organisers. Participation may depend on the needs of the Machane, the role available, and any relevant organisational or safeguarding requirements.
10. Changes or cancellation by the organisers
The organisers may make reasonable changes to the programme, schedule, accommodation or individual activities where necessary.
If the retreat has to be cancelled entirely by the organisers, participation fees already paid will be refunded. The organisers cannot generally reimburse additional costs incurred by participants, such as independently booked travel, except where otherwise required by law.
11. Accommodation, meals and accessibility
The retreat is a community-based event, and accommodation and meals will be organised accordingly.
Participants are asked to provide relevant information about dietary requirements, allergies, accessibility requirements or other support needs during registration. We will make reasonable efforts to accommodate these needs but cannot guarantee that every individual requirement can be met.
If you have a specific need that is essential for your participation, please contact the ROSBOT team before making travel arrangements.
12. Community standards and breach of participation terms
The retreat is intended to create a respectful, supportive and welcoming environment for everyone involved.
Participants are expected to treat one another, the organising team, the venue and its staff with respect and to follow reasonable organisational and safety instructions during the retreat.
A serious or repeated breach of these participation terms — including discriminatory, threatening, harassing or otherwise harmful behaviour, or conduct that substantially disrupts the retreat or compromises the safety and wellbeing of others — may result in the organisers asking a participant to leave the retreat.
In such a case, the participation fee will not be refunded. Any travel support previously agreed may be limited to costs already approved or incurred before the participant is asked to leave, and the organisers will not be responsible for arranging or covering additional travel, accommodation or other costs resulting from the participant’s departure.
The organisers reserve the right to take such action where they consider it necessary to protect participants, staff, the venue or the integrity of the retreat.
13. Personal information
Information provided through the registration process will be used for organising and administering the retreat, including communication with participants, accommodation, catering and relevant support arrangements.
Personal information will be handled in accordance with applicable data-protection requirements and the privacy policy of Hashomer Hatzair Deutschland e.V.

Participation & Cancellation Terms
These terms apply to participation in the ROSBOT Chanukkah Retreat 2026, taking place 7–11 December 2026.
The retreat is organised by ROSBOT, a sub-project of Hashomer Hatzair Deutschland e.V. As such, the retreat is grounded in the publicly stated values and educational principles of Hashomer Hatzair.
We ask participants to take part only if they broadly identify with and are willing to respect these values and the political and educational framework of the organisation. By registering for the retreat, participants agree to the following terms.
